Job Overview

The Project Coordinator is responsible for coordination of projects assigned to them. The Project Coordinator ensures project scope is established, assists with coordination between departments and resources to ensure they are properly allocated to support customer satisfaction and guarantee project deliverables are met within budget in a timely manner. Document Control is a critical process within Project Coordinator scope that involves managing the creation, distribution, storage, and reporting of documents to ensure accuracy, consistency, and compliance with standards and regulations.

Responsibilities

  • Ensures documentation submittals meet the formatting requirements set forth by for each respective project.
  • Responsible for file validation and document control.
  • Assists with schedules and coordinates assigned project work related to documentation; monitors work to ensure on-time release and delivery.
  • Responsible for receiving incoming documentation from customers and issuing documentation requiring revisions to responsible parties.
  • Ensures corporate documents are submitted error-free and with punctuality.
  • Participates in Client/Contractor meetings and assists in resolving project challenges.
  • Ensures project documentation is complete, current, and stored appropriately.
  • Assists with implementation and tracking of project schedules.
  • Conduct regular reviews and audits to identify and address any issues or risks - both internally and externally.
  • Allocate resources effectively, including personnel, equipment, and materials.
  • Monitor resource utilization and adjust as needed to stay on track.
  • Ensure that all project documentation is complete, current, and stored appropriately.
  • Serve as a point of contact between project team members, stakeholders, and external vendors.
  • Facilitate communication and collaboration among team members to ensure everyone is on the same page.
  • Organize and lead project meetings, including preparing agendas and distributing meeting notes.
  • Effectively applies NCI methodology and enforces project standards.

Qualifications

  • Minimum of 2 years’ relevant experience is required
  • Bachelor’s degree is preferred
  • Equivalent combination of education, training and experience may be accepted
  • Capable with Microsoft Excel, Word, and PowerPoint
  • Experience with MS Project preferable

  • Competence in general computer skills and the use of common business software, to include: Microsoft Office Suite (Word, Excel, Access, etc.)

Work Environmental and Physical Demands:

 

  • In order to perform the duties of this job, the employee may be required to stand, walk, sit, reach with hands and arms, climb or balance, stoop or kneel, talk and hear, and use fingers and hands to feel objects, tools or controls
  • Overtime may be necessary as the workload dictates. This may include week days, weekends, nights and/or holidays
  • Job will generally be performed in an office environment, but may require travel to a Client's office, production facility or industrial/construction job site. Conditions will vary at each location, but the conditions listed above will generally apply
  • Lifting up to 30 lbs. may be required
  • A valid driver’s license for any business travel, including that done between the NCI facilities, is required

Environmental Safety Requirements

 

  • New Employee Safety Training is required by all newly hired employees, including Safety Awareness
  • All safety related training is provided and tracked by the EHS Director
  • Job specific training modules deemed necessary by employee’s Manager or Director will be required of all employees on an ongoing basis

Employees are required to wear Nikkiso provided PPE as/when needed. PPEs include, safety shoes, safety glasses, face shields, FR clothing, cryogenic gloves, cryogenic apron, cut resistant gloves, safety gloves, hearing protection, hard hats & dust masks. Failure to comply with Nikkiso Cryo safety requirements will result in disciplinary actions, up to and including termination.
