Job Overview

Position Summary

We are looking for proactive and detail-oriented Production Coordinators for our Atlanta Customer Center to take ownership of job scheduling, technician assignments, and production flow in our aftermarket repair workshop. This role is critical in ensuring that customer deadlines are met, the backlog is healthy and current, and that all shop operations run smoothly and efficiently.

The Production Coordinator is responsible for planning, scheduling, releasing, and tracking workflow to support the scheduling of orders and scheduled customer commitments, working closely with internal departments such as customer service, inventory, repair technicians, and logistics to ensure timely communication of lead times, schedule impacts and changes, material shortages, and so forth.

Responsibilities

Essential Functions/Responsibilities

  • Own and manage a production schedule, assignment of jobs, release of work orders in a timely manner to effectively meet customer commitments.
  • Establish competency chart and assign jobs to technicians based on skill set, availability, and job priority.
  • Act as the primary point of contact for technicians regarding job assignments, technical support, and workflow questions.
  • Monitor parts deliveries and parts shortages in relation to planned orders and work with purchasing to coordinate deliveries of key components.
  • Maintain an up-to-date backlog of work orders, ensuring jobs are scheduled to meet customer deadlines and shop capacity.
  • Monitor job progress and adjust schedules dynamically to accommodate changes, delays, or urgent repairs.
  • Coordinate daily shop activities, ensuring efficient workflow, proper allocation of resources and adherence to safety protocols, shop policies, and industry regulations.
  • Work closely with the Operations Manager to track and maintain key performance indicators (KPIs), including shop utilization, technician efficiency, and job turnaround times.
  • Assist in leading daily and weekly production meetings with shop and office staff to review job status, parts availability, priorities, and performance metrics.
  • Identify and escalate any bottlenecks or inefficiencies in the production process.
  • Ensure accurate and timely documentation of repair reports, IWO accuracy, parts usage, and job completion details.
  • Oversee the proper recording and allocation of technician labor hours to corresponding jobs.
  • Maintain quality oversight of all work performed in the shop, ensuring repairs meet company standards and customer expectations.
  • Communicate effectively with service advisors, parts personnel, and management to ensure alignment across departments.
  • Support continuous improvement projects.
  • Support QMS requirements in areas of responsibility for conformance with state and federal regulations that includes providing ongoing ISO processes and procedures implementation and monitoring.
  • Promote Customer Focus throughout the company.
  • Perform other duties as assigned and assist in the workshop as required

Qualifications

Competencies (Skills, Abilities, and Knowledge)

  • Strong understanding of repair workflows, technician scheduling, and shop operations.
  • Excellent organizational and time management skills with the ability to manage multiple priorities.
  • Ability to read an engineering drawing and bill of materials.
  • Strong management, communication, and problem-solving skills.
  • Competency in MS applications (Word, Excel, PowerPoint, etc.).

Education & Experience

  • High school diploma or equivalent required; technical certification or trade school preferred.
  • 3+ years of experience in a repair or production coordination role, preferably in an aftermarket or service-based environment.

Work Environment & Physical Demands

  • Hands-on role in a fast-paced workshop environment.
  • Exposure to tools, machinery, and occasional lifting of heavy parts.
  • Stand, walk, sit, talk, hear, type, and write.
  • Reach with hands and arms, bend, stand on a stool or climb, and use fingers and hands to feel objects, tools, or controls.
  • Use standard office equipment such as computers, smart phones, printers, photocopiers, etc.
  • Lift files and open desk drawers and filing cabinets.
  • Ability to lift 25 pounds.
  • May require extended hours or weekend work during peak periods.

Safety

  • Complete safety training requirements.
  • Participate in other training as directed by the Company or manager.
  • Wear Nikkiso approved PPE as needed and direct team and others to do the same as appropriate.
