Job Overview

Nikkiso Cryogenic Services is seeking an exceptional Executive Assistant to serve as a strategic partner to the President and Executive Leadership Team. This is not a traditional administrative role—it is a high-impact position at the center of executive operations, designed for a proactive professional who anticipates needs, drives organizational efficiency, and enables leadership to focus on strategic growth and innovation.

The ideal candidate is highly organized, intellectually curious, and comfortable operating in a fast-paced, global environment. With impeccable judgment, discretion, and communication skills, the Executive Assistant will play a critical role in shaping the effectiveness of our leadership team and the success of our organization.

This position is based at our Huntington Beach, California location.

Responsibilities

Executive & Administrative Leadership Support

  • Serve as a trusted partner to the President and Executive Team, managing complex calendars, priorities, and workflows.
  • Coordinate domestic and international travel, including detailed itineraries and logistics.
  • Prepare, edit, and manage executive-level correspondence, reports, presentations, and briefing materials.
  • Maintain highly confidential files and sensitive information with the utmost professionalism and discretion.
  • Conduct research and compile data to support executive decision-making and strategic initiatives.

Strategic Communication & Stakeholder Management

  • Act as a primary liaison between executives and internal/external stakeholders, including senior leaders, customers, and partners.
  • Manage high-level communications, including drafting emails and correspondence on behalf of executives.
  • Facilitate communication across departments to ensure alignment on priorities and initiatives.
  • Organize and support executive meetings, ensuring agendas, materials, and follow-ups are executed effectively.

Project & Initiative Coordination

  • Support planning and execution of key organizational projects and initiatives.
  • Track milestones, deadlines, and deliverables; proactively follow up to ensure progress.
  • Coordinate cross-functional collaboration across departments and teams.
  • Prepare status reports, dashboards, and executive summaries as required.

Event & Global Meeting Management

  • Plan and manage executive meetings, company events, and conferences (domestic and international).
  • Oversee logistics, vendor coordination, budgets, and execution.
  • Anticipate and resolve issues to ensure seamless event delivery.
  • Travel as needed to support executive priorities and organizational initiatives.

Office & Operational Management

  • Oversee office operations, vendor relationships, and administrative processes.
  • Implement and maintain efficient office policies and procedures.
  • Ensure a well-organized, productive, and professional office environment.

Financial & Strategic Support

  • Assist in preparing financial reports, summaries, and documentation for executives.
  • Support strategic planning initiatives and special projects.
  • Conduct stakeholder analysis and prepare executive-level briefs.
  • Provide data-driven insights to support leadership decision-making.

Professional Growth & Continuous Improvement

    • Stay informed on industry trends, best practices, and emerging tools.
    • Pursue ongoing professional development and training opportunities.
    • Continuously refine processes to enhance executive effectiveness and organizational performance.

Qualifications

Experience

  • Minimum of 5 years of experience as an Executive Assistant or in a comparable executive support role.
  • Proven experience managing complex calendars and coordinating domestic and international travel.
  • Strong background in preparing executive-level documents and presentations.
  • Demonstrated ability to manage multiple projects simultaneously with accuracy and efficiency.
  • Experience working with senior leaders, external partners, and vendors.
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

Work Environment & Physical Requirements

    • Office-based role at Nikkiso Cryogenic Services headquarters with occasional global travel.
    • Ability to perform standard office tasks, including typing, filing, and operating office equipment.
    • Ability to lift light office materials and perform routine physical activities associated with an office environment.

Salary range: $70,843 - $125,370
